Setting Up and Using the Auto Farm Feature in Limo Anywhere

Auto Farm is a powerful feature in Limo Anywhere (LA) that automates the reservation farming process to affiliates. It automatically assigns trips based on predefined criteria, region, and affiliate configuration, saving you time and reducing manual errors. Below is a step-by-step guide on how to set up and use Auto Farm effectively.

Accessing Auto Farm

Auto Farm is available to Limo Anywhere Black users. To find it:

  1. Log into Limo Anywhere.
  2. Navigate to the Add-ons Dashboard or use the Left Navigation pane to find the Auto Farm option.

Setting Up Auto Farm

  1. Configure Status to Trigger Auto Farm
Auto Farm begins working once a reservation hits a particular status. Select the reservation status (e.g., “Farm Out Unassigned”) that will trigger Auto Farm to start offering trips to affiliates. This ensures Auto Farm only handles trips that meet your desired status criteria.

  2. Set Region-Based Affiliate Assignments
Auto Farm uses a region-based system to assign trips to the right affiliates. This requires configuring Regions where your affiliates operate:

    • Click the Regions tab on the Auto Farm page.
    • Use the map-based editor to draw region shapes or set a region based on addresses or a radius around a location.
    • Assign affiliates to these regions, ensuring they cover trips in those areas.

Important: Only affiliates assigned to a specific region can receive farmed-out reservations from that area.

  3. Set Messaging for Offers
Customize the messaging affiliates receive when Auto Farm sends them an offer:

    • Set the Email Subject and Body that goes to affiliates.
    • You can also configure SMS notifications for affiliates that prefer mobile communication.
    • Affiliates will be able to accept or reject the offer via a button in the email or SMS.
  4. Notifications for Unavailable Affiliates
Set an email address to receive notifications when no affiliate is available for a trip. This happens if:

    • There are no affiliates in the assigned region.
    • All configured affiliates reject the offer or let it expire.

Regions and Affiliates Configuration

Auto Farm relies on properly set regions and affiliate assignments. Here’s how you can manage these effectively:

  1. Creating or Editing Regions

    • Use the map tool to draw zones representing serviceable regions.
    • Enter addresses or locations to define a precise area.
    • Add or remove regions as needed.
  2. Assigning Affiliates to Regions

    • Click on the region and assign affiliates to serve that area.
    • Prioritize affiliates within a region: If multiple affiliates are assigned to the same region, those with higher priority scores will receive offers first.
  3. Disabling Regions
Regions can be disabled without being deleted, allowing flexibility in managing temporary changes in service coverage.

Notifications and Messaging Customization

  1. Email Notification Settings
Auto Farm allows you to set up email notifications in two key ways:

    • Notify when no affiliates are available – set an email address to receive updates if no affiliate can take the trip.
    • Customize Offer Emails – Configure the subject line and body of the offer emails, ensuring clarity in your communication.
  2. SMS Offers
You can also set SMS language for offers that go out via text message. This ensures affiliates get clear, concise messages when receiving offers on the go.

Final Steps for Auto Farm Activation

Once all configurations are complete, Auto Farm will be activated and ready to handle reservations automatically. Ensure the following:

  1. Turn on Auto Farm by enabling it in the settings.
  2. Verify Regions and Affiliates are properly configured.
  3. Set Messaging options to ensure clear communication with affiliates.

After setup, any reservation that matches your trigger status and is in a covered region will automatically be farmed out to affiliates based on your configuration. You can monitor the system’s effectiveness by viewing the Offers and Historical Usage Log on the Auto Farm dashboard.

Monitoring Auto Farm

To ensure Auto Farm is working correctly:

  • Check the Usage Log: You can see the list of trips processed by Auto Farm by clicking the Offers and Historical Usage button.
  • Ensure Affiliate Responses: Verify that affiliates are receiving and responding to offers within the expected timeframes.

Benefits of Using Auto Farm

  • Save Time: Automate the process of finding the right affiliate for each trip.
  • Reduce Errors: Ensure each reservation is farmed to the most suitable affiliate based on criteria like location, vehicle type, and more.
  • Improve Coverage: Optimize service delivery with region-based assignments.
  • Stay Informed: Instant notifications for offers and failures keep your operations running smoothly.

By automating the reservation farming process, Auto Farm frees up your time and resources, ensuring a smoother and more efficient operation. Proper setup is essential to getting the most out of this powerful tool, so take the time to configure regions, affiliates, and messaging for optimal results.
