Addons – Mobile Apps & App Permissions

Overview

Mobile Apps are lightweight, browser-based tools your employees run from their phones – Time Clock, Fuel Capture, DVIR inspections, Signage, Shuttle Manifest, and more. There is nothing to install from an app store. Each app is a web page secured by a personal link, and employees can save it to their home screen so it behaves like a native app.

What Is the Mobile Apps System?

A single place to control which employees can use which phone-based tools:

  • One page listing every app your plan includes
  • One grid to grant or revoke any app for any employee
  • A per-employee “Master App” that collects everything they’re authorized for
  • Automatic app grants for newly synced drivers
  • SMS, email, and QR distribution of personal app links
  • Device registry for push notifications

The Most Important Concept

Turning on a feature does not give anyone access to it. These are two separate steps:

  1. Enable the feature on its own settings page (for example, Time Clock under Time Clock)
  2. Grant the app to employees under Mobile Apps

Skipping step 2 is the single most common reason a feature appears “broken” – it’s enabled, configured, and nobody can open it. See Troubleshooting.


How Mobile Apps Work

Granting someone an app creates a private link that belongs to that one employee and that one app. When they open it, the system already knows who they are – there’s no username or password to remember, which is exactly why drivers will actually use these.

The trade-off is that the link is the key:

  • Anyone who has the link can use that app as that employee
  • Revoking access stops the link working right away
  • Issuing a new link stops the old one working

Treat app links the way you’d treat a password. If a phone goes missing, revoke or reissue rather than waiting to see what happens.


The Master App

The Master App is a single page listing every app that one employee is authorized to use. It is the entry point for everything else.

Why It Matters

For drivers using DriverAnywhere, the Master App is what places the AddOns button inside their driver app. Without it, a driver has no way to reach any of these tools no matter what else you’ve granted them.

Grant the Master App to anyone who will use any mobile app. It is the door; the individual apps are the rooms behind it.

Branding It

Under Mobile Apps > Master App you can set:

Logo The icon employees see when they save the app to their home screen. Best size is 192×192 pixels; larger images are downscaled
Title The name shown under that icon

Click Update Logo to save.


Which Apps Are Available

Mobile Apps lists every app available on your plan, with a count of how many employees currently have each one. Click the gear icon beside any app to open its own distribution page.

If you don’t see an app on this page, the feature behind it isn’t switched on yet. Turn the feature on first, then come back here to hand out the app. If it’s not part of your plan, contact your account manager.


Unified Permissions Manager

Mobile Apps > Unified Permissions Manager is the fastest way to manage access. It shows one grid: every employee down the side, every available app across the top.

Color Meaning
Green Access granted
Red No access

Changes save immediately as you click – there is no separate save button for the grid.

Ways to Grant Access

A Note on Column “Select All”

Granting a whole column is fast even on a large team. Granting a whole row works through one app at a time, so give it a moment to finish before navigating away.


New Driver Defaults

At the top of the Unified Permissions Manager, New Driver Defaults decides which apps a newly synced driver receives automatically.

Check the apps every new driver should have – Master App at minimum – and click Save New Driver Defaults.

Important Behavior

  • Applies only to brand-new drivers created by the LimoAnywhere sync. It never changes access for anyone already in your system.
  • Never re-grants revoked access. If you deliberately remove an app from a driver, the sync will not add it back.
  • Leave everything unchecked to turn it off. New drivers will then arrive with no apps, and you can grant them by hand.

For drivers you already have, use the grid instead.


Distributing Apps to Employees

Granting access creates the link. It does not notify the employee. You still have to deliver it.

Open Mobile Apps > Master App (or the gear icon on any individual app) for a per-employee table:

If an employee has no mobile number or email on file, that cell reads “No Phone Found” or “No Email Found” – fix the contact record first.

Confirming It Landed

Last Used is the practical check. An employee still showing “Never Used” a few days after distribution either didn’t receive the link or didn’t open it.


Installing on a Phone

The Instructions link opens a page tailored to the employee’s device. Sending them there is usually easier than explaining it.

iPhone / iPad

  1. Tap the link to open the apps page (Safari recommended)
  2. Tap the Share icon at the bottom of Safari
  3. Choose Add to Home Screen

Android

  1. Tap the link to open the apps page
  2. Use the browser menu to add the page to the home screen

Once added, it launches from the home screen like any other app. This step is optional – the link works in a browser either way – but home-screen install is what makes it feel native and keeps employees from losing the link.


Batch Operations

The Master App page includes a batch menu for bulk changes:

Generate Tokens for Those Missing Creates links for everyone who doesn’t have one. Existing links are untouched
Generate New Tokens for Everyone Replaces every link. All previously distributed links stop working and must be redistributed
Revoke Tokens for Everyone Removes access for all employees

All three ask for confirmation and cannot be undone.

Use “Generate New Tokens for Everyone” sparingly. It’s the right response to a suspected leak, but every employee will need their link sent again.


Revoking Access

Revoking takes effect immediately – the link stops working on the next tap.

When an Employee Leaves

Use Revoke All on their row in the permissions grid. This clears every app at once, including the Master App.


Device Management

Mobile Apps > Manage Devices lists phones registered for push notifications:

Use Test when an employee reports missing notifications – it isolates whether the problem is the device registration or the notification itself.


Who Can Manage App Access

You don’t need to be an administrator to hand out apps. Anyone whose role lets them view employee records can manage app access:

If your role doesn’t include viewing employee records, the permissions grid won’t let you grant or revoke anything. Ask your administrator to update your role.

Hiding Employees Who Won’t Use Apps

If your employee list includes records that will never use a mobile app, your account can be set to hide anyone without a LimoAnywhere driver or user profile. Contact support if you’d like this turned on.


Best Practices

Grant the Master App to everyone up front. It’s harmless on its own – it only shows apps the person already has – and it removes the most common failure mode.

Set New Driver Defaults early. Configure it once and new hires arrive ready to work instead of filing an access request.

Distribute by SMS. Drivers open texts. Email links are more likely to sit unread.

Check Last Used after distributing. It’s the only reliable confirmation that a link reached someone.

Revoke immediately when a phone is lost. The link is the credential; there’s no password to change.

Turn the feature on before looking for its app. Some apps don’t appear on the Mobile Apps page until the feature behind them is switched on.


Troubleshooting

An employee says the app isn’t there

Check in this order:

  1. Do they have the Master App? Without it there’s no AddOns button and no way in. Check the Master App column in the grid – it should be green for that employee.
  2. Do they have the specific app? Master App only lists what they’re authorized for.
  3. Is the feature turned on? Some apps don’t appear at all until the feature behind them is switched on.
  4. Did they receive the link? Check Last Used – “Never Used” means they never opened it.

The app column I need isn’t in the grid

That app’s parent feature is switched off for your account. Enable the feature first; the column appears afterward.

A driver synced from LimoAnywhere has no apps

New Driver Defaults is either unconfigured or was set after that driver was created. Defaults only apply to drivers created after they’re saved. Use the grid for existing drivers.

An employee I granted an app to still can’t get in

If they were granted the app but not the Master App, they have no entry point. Grant the Master App.

Nobody can be granted anything

Your role probably doesn’t include permission to view employee records, which is what the permissions grid requires. Ask your administrator to update your role.

An employee doesn’t appear in the list

Either your account is set to hide employees without a LimoAnywhere driver or user profile, or your role only covers your own location and they’re based at a different one.

Someone likely ran Generate New Tokens for Everyone, which replaces every link. Redistribute.


Frequently Asked Questions

Do employees need to download anything from an app store? No. These are web pages. “Add to Home Screen” makes one look and launch like a native app without an app store.

Do employees need a separate login? No. The personal link is the credential.

What happens if a link is forwarded to someone else? That person can use the app as the original employee. Treat links as credentials and revoke if one is exposed.

Can I see whether someone is actually using an app? Yes – Last Used on the app’s distribution page.

If I revoke an app, can I grant it again later? Yes. Re-granting issues a new link, which must be redistributed.

Does New Driver Defaults change access for current drivers? No. New drivers only, and it never re-grants something you deliberately revoked.

Why does an app show on the Mobile Apps page but not in the permissions grid? Both lists come from the same place, so this is unusual. Refresh the page – if it persists, contact support.

Can someone who isn’t an administrator manage app access? Yes. Any role that can view employee records can hand out apps. If that role is limited to one location, they’ll only see the employees based there.
