Account Updates-How to Structure Billing Contacts, Booking Contacts and Passenger Accounts

Booking Contacts & Account Updates

On June 3, 2015 Limo Anywhere deployed major enhancements to our Booking Contact functionality, and turned all Booking Contacts into unique Accounts in the administration system.

Why did we make this change?

By enhancing the associations between Booking Contacts, Billing Contacts, and Passengers, Limo Anywhere customers will see several benefits, including the ability to offer “Book on Behalf” functionality via a single login in all of our consumer-facing products and the ability to spread booking contact permissions across an organizational tree much more seamlessly. We expect this change to make the reservation process smoother, simpler, and faster for both internal and external stakeholders.

What exactly changed?

Booking Contacts are now Accounts designated by an Account Type similar to Billing Contacts and Passengers. To properly leverage the benefits of this change, all Booking Contacts should be associated with a master or sub-Billing Contact, which enables Limo Anywhere to properly filter and associate contacts during the Reservation process.

What adjustments should we make to our Accounts setup?
If you have Accounts where a Booking Contact is associated with a single Billing Contact, no change is need. If you have any duplicate Booking Contacts, those can be deactivated by opening the Account, clicking the Status drop down, selecting INACTIVE, and pressing Save (see below).
For Accounts where multiple Billing Contacts exist and one or more Booking Contacts that books for them, a single Billing Contact needs to be created that all the other Billing contacts are tied to.   See the below example for a visual representation.
If each Billing Contact was to have one or more dedicated Booking Contacts, the structure would likely be similar to the below visual representation.

Of course, there are many variations and hybrid versions of the above structures – for more help, e-mail or call our Support Team at support@limoanywhere.com or 972-701-8887 (option 2).
